Pathology Secretary Location Cordele, GA :
Position Summary: Under the leadership of the Manager, Laboratory Services, the Pathology Secretary isan active member of the Laboratory Servicesteam that provides secretarial support and services to the Laboratory staff and Pathologists consistent with the goals, philosophy and direction of the department and CRHS. The Pathology Secretary provides clerical and secretarial support to the Manager, department staff and Pathologists ensuring that all final reports and examination notes are absolutely accurate. The Pathology Secretary performs general office operations, maintains files and retains pathology reports and notes, and prepares internal and external correspondence and documents as required. Basic Qualifications: Requires a high school diploma or a GED state certification with an emphasis in Office Occupations or Administrative Skills and has successfully completed medical terminology and transcription courses. Requires up to one year of work-related experience as a medical transcriptionist or any equivalent combination of education, training and experience. - Licensure, Registrations & Certifications:
This job does not require any professional or technical licenses, registrations or certifications. Essential Job Responsibilities: - Provides secretarial support for the Manager, department staff and Pathologists.
- Answers phone calls, takes and relays for messages.
- Prepares correspondence and other documents for the Manager, staff and Pathologists.
- Classifies, sorts, files and maintains records of all initial and final pathology reports that have been prepared.
- Creates pathology case files using patient and specimen information, ensures that laboratory test results and counts are enclosed along with related insurance information. Includes in the file prior related pathology reports of the same type.
- Creates autopsy case files using information about the deceased obtained from the autopsy log book.
- Prepares specimen blocks and/or slides along with initial notes and history for shipment to Clarinet Diagnostics for molecular diagnostic analysis using established and approved methods of transmittal prior to daily cutoff time. Notifies Clarinet of shipment and tracks shipment to ensure receipt.
- Ensures that all specimen slides accompany pathology files for the pathologist's initial dictation.
- Prepares pathology initial reports based on handwritten and dictated notes following established work procedures.
- Resolves any questions or unclear notations on reports to guarantee absolute accuracy of final reports.
- Prepares final pathology report for the pathologist's signature.
- Transmits final pathology report to the requesting physician's office either by fax or secure e-mail.
- Prepares initial autopsy report according to established work procedures, resolves questions or unclear notations, finalizesautopsy report guarantying absolute accuracy, obtains the pathologist's signature and sends an original report to the requestor.
- Types gross and micro-pathology reports and diagnosis.
- Enters requisitions in the Meditech system and obtains and verifies patient insurance information according to department work procedures.
- Checks on a weekly basis for unsigned out reports and follows-up with the pathologists.
- Prepares semi-monthly worksheets of work performed.
- Prepares and prints monthly department reports for quality assurance, pap and surgical reports.
- Orders supplies as needed.
- Performs other related job duties as assigned.
Standards of Performance: - Provides secretarial support for the Manager, department staff and Pathologists answering phone calls, taking and relaying messages, preparing correspondence and other documents. Classifies, sorts files and maintains records of all pathology initial and final reports that have been prepared.
- Prepares specimens and pathology information for shipment to external labs for advanced analysis according to established procedures.
- Prepares initial and final pathology and autopsy reports according to established work procedures and Pathologist preferences.
- Transmits final reports as requested.
- Demonstrates reliability as measured by compliance with the CRHS Time and Attendance policy.
- Demonstrates professional conduct, as measured by accuracy and legitimacy of billing, and adherence to confidentiality, accounting, and HIPAA standards.
- Adheres to the CRHS Standards of Behavior as measured by observations of staff, as well as outside and other inside customers.
