Job Description

PURPOSE: We are looking for a talented individual in planning and organization with top-notch decision-making skills who is creative. You should have excellent leadership skills who is prayerful, faithful and available. You’ll handle budgets, and networking all while providing overall care for Sheologie office needs (Office upkeep and supplies, answering calls, maintaining the main calendar, steering calendar, providing visitors and callers with information on upcoming events, ministry information, etc.). You will oversee the accuracy and details of executing all special events by Sheologie ministries and as requested by Lenya Heitzig. You’ll be passionate about sharing the bible teaching of Lenya and other guest speakers through special events. A person dedicated to the core values at the heart of Sheologie to serve and grow Sheologie’s women’s ministry. You’ll help shape and directly impact the lives of women locally and abroad. You’ll be highly driven to keep on top of best keynote speakers, special musicians, and cultural trends. You’ll work closely with Lenya Heitzig and the Sheologie's Director to ideate and execute original, creative and engaging events that engage and grows Sheologie’s women’s ministry. You are a team player who is devoted to advancing the Kingdom with everything you do.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

· Office upkeep and supplies, answering calls, maintaining main calendar, steering calendar, providing visitors and callers with information on upcoming events, ministry information

· Special Events: organizing and executing all special events, books talent, coordinates with contractors, steering committee, support staff, and servant leadership team

· General organization, communication, maintaining the set budget for each event and servant management.

ESSENTIAL TASKS:

· Special Events

· Contracts-guest speakers, artists, musicians, and all other contract needs

· Promotion

· Keep accurate and detailed information of all Sheologie Special events

· Ensure all necessary materials are ordered within budget and on time

· Schedule and attend meetings with servant team leaders and/or workshop presenters

· Communicate with the Ministry Platform team- links, servants or other

· Schedule and attend workdays for any material prep

· Work with Janitorial and other key departments to organize event setup/tear down

· Attend and present at Team/Steering and Leadership meetings

· Create and distribute

Lead Team flowcharts and responsibility sheets

Servant day-of go sheets and any needed materials

· Ensure your team servant fulfills all duties assigned to them

· Winter Gala specific

Recruit and communicate with Lovely Market Vendors- application/layout

Manage Tea Service

· Marketing Requisition Writer/Web Purchasing

· Requisition writer for special events, admin, office supply ordering, interoffice transfers

· Responsible for

· Advance Funds Reconciliation Form, turning in receipts, and corresponding paperwork to the Accounting Office. Maintain and Reconcile Petty Cash, Assigned American Express card by monthly due date

· Keeping track of checks that are out in circulation and keeping track of receipts that have been returned.

· Communicating the policies of our Web Purchasing guidelines and specific instructions with those requesting funds

· Creating accurate requisitions and receiving them in a punctual manner

· Organize and maintain all backup paperwork on requisitions

o Espace campus booking system:

§ Enter and update all requests including, but not limited to: services, events, promotion, etc. (Excluding bible study)
